Where the pipeline usually breaks
Table detection misfires
A two-column layout, a chart, or a boxed callout can all look like a table. Detect it wrongly and the whole page becomes noise.
Cell text overflows
Long descriptions run past the column edge and get assigned to the neighbour cell.
Rotation and skew
A page scanned at two degrees turns straight columns into staircases; naive column splitting merges adjacent numbers.
Empty cells are invisible
A missing value leaves no pixels, so it must be inferred from the grid โ otherwise the row slides left.
Mixed content inside one cell
A number plus a footnote marker, a name plus a date. Splitting them is a modelling decision, not a regex.
Language and numeral systems
Arabic-Indic digits, comma decimals, and right-to-left text each break assumptions baked into Western layouts.
Step 1: Find the tables
Layout analysis classifies regions of the page: text block, heading, table, figure, header, footer. Getting this right matters more than OCR accuracy, because everything downstream only looks inside the regions marked as tables.
On a bank statement the transaction table is bordered by header and footer blocks that repeat on every page. Those must be excluded, or each page contributes a fake transaction with the account number as its description.
Step 2: Read the cells
OCR runs per region, ideally with line-level bounding boxes. Bounding boxes are what let the next step decide where a cell starts: the model needs to know that "1,204.55" occupies the x-range of the debit column, not merely that the characters exist.
Handwriting, stamps, and low-contrast thermal paper all degrade this step. The output is never certain โ which is why any serious workflow verifies arithmetic afterwards rather than trusting recognition alone.
Step 3: Rebuild the grid
Table structure recognition takes the cells and their positions and predicts row and column spans, header hierarchies, and which empty slots are genuine blanks. This is the step that turns a bag of words into a spreadsheet.
It is also where borderless tables are won or lost. Without ruling lines, column boundaries have to come from the distribution of text positions across the whole table โ one misaligned header can shift an entire column.
Verification beats confidence scores
A recognition confidence of 97% tells you very little about whether a balance is right. Domain checks are far more useful: does the running balance roll forward, do subtotals equal the sum of their rows, do assets equal liabilities plus equity.
That is the difference between OCR output and a usable ledger. The arithmetic check catches misreads that no confidence threshold would flag, because a wrong digit still looks like a confident digit.
Frequently asked questions
Is OCR the same as table extraction?+
No. OCR converts images of text into characters. Table extraction additionally recovers rows, columns, and header structure. You need both for a spreadsheet.
Do I need a GPU for table extraction?+
Not to use an online converter โ the compute is server-side. Running open-source models locally generally benefits from a GPU but works on CPU for small volumes.
Why do some scanned tables come out as one column?+
The tool performed OCR but skipped structure recognition, or failed to detect column boundaries because the table had no ruling lines. The output keeps reading order and loses the grid.
Does resolution matter more than the OCR engine?+
Often, yes. Below roughly 200 DPI, small digits become ambiguous and no engine recovers them reliably. A better scan beats a better model.
Can table extraction handle multi-page tables?+
Yes, when page continuations are joined and the repeated header is recognized as a header rather than as a data row. Check the join on the first file you convert.
