Scanned PDF to Excel: When There Is No Text to Copy

A scanned page is a photograph of a table. There is no hidden text layer to extract, no row objects to export. Getting numbers out means reading pixels — and then deciding which pixels line up into a column.

Why scanned documents defeat ordinary converters

Empty output, no error

Text extraction returns zero characters for an image-only page. Some tools "succeed" and hand you a blank workbook.

OCR reads words, not columns

Character recognition gives you a text stream. "1,204.55 1,388.90" becomes one blob unless something reconstructs the cell boundaries.

Skew and fold lines

A page fed slightly crooked turns straight column edges into a staircase; naive OCR merges adjacent numbers.

Stamps overlap numbers

A "DEPOSITED" stamp or a signature sits on top of a figure and the recognizer invents a third value.

Fax noise and JPEG artifacts

Low-bitrate scans blur ascenders and make 3 look like 8, 1 like 7 — expensive mistakes in a financial table.

Mixed documents

Half the pages are scans, half are digital. Two different extraction paths have to end up in one consistent sheet.

What OCR alone does not solve

OCR converts pixels to characters. It does not know that the third number in a row is a debit and the fourth a balance. That relationship lives in the geometry of the page.

So the pipeline is three steps, not one: detect where tables are on the page, recognize the text inside each cell, then infer the row and column structure from alignment and ruling. Skipping the third step is why most "OCR to Excel" tools produce a single column of jumbled text.

Getting a better scan without rescanning

  • Shoot pages flat and well-lit if you are using a phone; avoid shadows down the middle fold.
  • 300 DPI grayscale is usually better than a color scan at the same size — color compression blurs small digits.
  • Crop out desk edges; a black border confuses page-boundary detection.
  • If a page is rotated, rotate it in the viewer before uploading — rotated text is the single most common OCR failure.
  • Keep the original. Convert once, compare the output against the scan, then act.

What to check in the output

1

Column count and order

Count the columns in the source and in the sheet. A missing column usually means two adjacent columns were merged.

2

First and last row of each page

Page breaks are where header rows get re-inserted and totals get cut. Inspect those boundaries first.

3

Digits that look alike

Spot-check 0/8, 1/7, 5/6, and decimal separators. In a bank statement, a single flipped digit changes a balance.

4

Signs and currencies

Confirm credits and debits kept their direction, and that the currency symbol did not become part of the number.

When scanned PDFs are the wrong starting point

If you need a calculation-grade bank statement, a raw OCR dump is only step one — the running balance has to be checked against the transactions, otherwise you are trusting unverified numbers.

For that case, use a statement-specific path that reconciles the account: every row is tested against the previous balance plus credits minus debits, and mismatches are flagged instead of silently exported.

Frequently asked questions

Can a scanned PDF really become a usable spreadsheet?+

Yes, with caveats. Clean 200-300 DPI scans of ruled tables convert well. Handwriting, heavy stamps, and crumpled receipts need manual checking after conversion regardless of the tool.

Is OCR PDF to Excel free?+

SheetParser offers free daily conversions without an account. Volume is sold per-file packs rather than a subscription, so occasional users do not pay monthly.

How accurate is OCR on bank statements?+

Accuracy depends on the scan. The output is not accepted blindly here: the running balance is recomputed row by row, so arithmetic errors surface even when a digit is misread.

Do I need to install anything?+

No. The OCR runs server-side; you only need a browser.

What about a photo taken with my phone?+

Photos work if the page is flat, evenly lit, and fills the frame. Perspective correction is more forgiving than rotation, but a straight-on shot is always better.
